Wedding Wire has no less than 374 venue listings in or near Seattle – and I’m sure you’ll find a similar situation wherever you might happen to live. Just a bit overwhelming. So, how in the world do you begin your venue search?

First and foremost, take a moment to chat with your wedding planner about your vision and the expected size of your guest list. Chances are, your planner has worked with a plethora of venues and can steer you to locations that best fit with the vibe that you desire – and that have a good reputation in the industry.

Beyond that initial guidance, there are three main considerations to keep in mind when you begin your search.

  1. Is it you?

Choosing a space that aligns with your vision will complement your theme. Modern weddings fit well in art galleries, museums, and some hotel spaces. Rustic themes work well in barns or farm locales. The vintage look is enhanced in historical settings and wineries. And the Boho look – while comfortable in any space – flourishes in quirky spaces with outdoor options. And the ever-flexible warehouse space can be easily transformed for any vibe.

But, let’s face it. It’s 2018 – and placing unusual elements in unique spaces is what it’s all about. So, if you find a venue you love – whether it aligns with your theme or not – it can work!

  1. Is it in your budget?  

Your venue is one of the major hits to your budget. Be mindful of choosing a venue that it sized appropriately (Who wants their guests squished into a space too small to accommodate everyone? – even if it is priced right. Be aware, the maximum occupancy is simply too many to comfortably fit and maneuver in the space.) and that has all the amenities that you want to provide.

Options for a better price-point come if you are willing to pick a date that is not in the peak wedding season – or is on a non-peak day of the week. (Check our blog post, The 5-C’s of Choosing your Wedding Date, for other considerations when choosing non-peak dates.)

Along with the quoted fee – it’s important to look closely at what is actually provided:

  • Some venues provide “full service only” or have restricted vendors. When you are limited in choices for catering, dee-jay, or other vendor services, you may end up paying more in the long run – even though the venue rental itself is in your price-point. Or, some venues – McMenamins locations for example – provide the venue at no cost if your in-house catering spend meets a minimum. Other venues may be site-only – providing no additional services – and are open to any vendor you may choose to bring into the space. Just be sure you are aware of services as you look at the venue price.
  • Tables, chairs, linens, etc. Are those items available from your venue? Is there an additional cost for each item you secure from the venue? Are they of the quality that you want? Or are you going to have to arrange for rental delivery and set-up? Will your venue staff or caterer assist with set-up and tear-down or will you have to factor in hiring additional manpower – or – gasp! – will it fall to friends and family to set up and clean up? Certainly, important considerations.
  • Check carefully for other restrictions that are near and dear to your heart. You want a dance party until midnight, but your venue has a clause for noise restrictions after 10:00. You’ve always wanted a sparkler send-off, but your venue won’t allow it. You’ve both chosen specialty cocktails, but your venue allows only wine and beer. You may end up having to compromise on some details – but be sure you are aware going in, rather than being surprised once your heart is set on a dream spot – or worse yet, you’ve signed a contract.

Let’s get real – when choosing a venue, it’s time to pull out the calculator and look at all the costs to get a good comparison – don’t just look at the quoted venue rental price.

  1. Is it convenient?

I’m sure you’ve heard the famous quote, “There are three things that matter in property: location, location, location.” The same can hold true when choosing the venue for your most special day.

You may find the perfect venue at the perfect price … but it’s located far from wedding shuttle options, is not supported by Uber or Lyft, has limited vendors serving the locale, is difficult to find even using your map app (or maybe has no cell support), and nearby lodging options are less than optimal for your guests. It may be time to go back to the drawing board and spend a bit more for a spot that is convenient for supporting the event you have always dreamed of.

Before you sign that contract be sure:

  • The contract doesn’t have any loopholes that would be disastrous. Snag your wedding planner to take a peek at it if you aren’t sure.
  • Look again for hidden fees or restrictions.
  • Do your homework – check reviews! And ask your wedding planner if she has any experience working with the venue.
  • If there is the option of going to an open house prior to booking, do it! The venue may be set up to mimic a wedding – giving you the option of seeing the space “decked out” and generally there are options for caterer tastings – so much more than just your usual site tour. Either way – simple site visit or open house – bring your camera and take pictures. The photos will help as you (and your planner) plan the layout and décor.
